Editing Templates - Receipts, Invoices, and Document Layouts
Customize document templates for receipts, invoices, estimates, and bills under Settings → Templates in Tracksales.
Document templates control how receipts, invoices, estimates, bills, and other documents look when you print or download a PDF. Edit them under Settings → Templates.
1. Open Templates
- Go to Settings.
- In the settings sidebar, open Templates (
/settings/templates). - Use the document type list on the left to switch between sale receipts, invoices, and other types.
You need permission to view Settings to open this page. Saving changes and setting a default template require permission to update Settings.
2. Document types you can customize
- Sale Receipts — POS / thermal 80mm receipts
- Estimates
- Invoices
- Delivery Notes
- Credit Notes
- Payments — customer payment receipts
- Purchase Orders
- Bills
- Vendor Payments
- Vendor Credit Notes
Each type has one or more layouts. The template marked Default is used for real print and PDF output of that document type.
3. Browse, preview, and set default
- Template cards show a compact preview of each layout.
- Hover a card and choose Preview to open a modal with sample data, or Edit to open the full editor.
- From the preview modal you can also Print a sample.
- Use Set default so that layout becomes the active template for that document type.
4. Edit with live preview
- Open a template with Edit.
- Use the tabs on the left to change settings. The right side (or below on mobile) shows a live preview with sample data.
- Use Refresh preview if you need to reload the sample.
- Click Save when you are done. Changes apply to future prints and PDFs for that template.
5. General options
- Template name
- Colors — accent, label, and text colors
- Font — choose from fonts such as Outfit, Inter, Arial, Georgia, Roboto, and Roboto Mono
- Margins — top, bottom, left, and right (inches). Margins are not shown for sale receipts, which use a fixed 80mm width.
6. Header and footer
- Logo — show or hide, and set position (left, center, or right). The logo comes from your organization branding in Settings, not uploaded on this screen.
- Organization name and organization address (address, phone, email, PIN)
- Customer / vendor notes — label and body. Multi-branch organizations can override notes per branch.
- Terms & conditions — label and body, with optional branch overrides.
7. Details and field labels
On the Details tab you can rename or show/hide labels such as organization PIN, customer/vendor, delivery or credit party, and “prepared by,” depending on the document type.
On Other details, options vary by type. Common options include:
- Signature line
- Delivery details on invoices, delivery notes, estimates, and credit notes
- For sale receipts: staff display (none, cashier, sales staff, or both) and Receipt barcode (encodes the receipt / sale reference for scanning)
8. Sale receipt tips
- Sale receipts print on 80mm thermal layouts.
- Turn on Receipt barcode if you use POS receipt verification or need scannable references at the door.
- Print a test receipt on your thermal printer after changing fonts, logo, or margins-related layout choices.
💡 Tip
Update your business logo and company details in organization settings first, then adjust Settings → Templates so every document type shares consistent branding. Always set a clear Default template for each type you use.
